1. Answer all incoming calls, screen and direct calls and handle caller’s inquires wherever possible
2. Receive, direct and relay telephone messages and fax messages
3. Greet all visitors entering the organization in a friendly and presentable manner
4. Direct all visitors entering the organization to correct destination
5. Respond to queries from the public and customers
6. Ensures knowledge of staff movements in and out of organization
7. Provides word processing and secretarial support
8. Perform clerical duties in order to maintain administration
9. Prepare any letters and documents that maybe assigned
10. Receive and sort mail and deliveries. Also ensures to date stamp all general correspondence
11. Develop and maintain a current and accurate filing system
12. Schedule any appointments for staff in the organization and ensure appointment diary is maintained electronically
13. Maintain an adequate inventory of office supplies
14. Monitor the use of supplies and equipment
15. Coordinate the repair and maintenance of office equipment
16. Assist in the planning and preparation of meetings, conferences and conference telephone calls
17. Ensure the reception area is well maintained
18. Perform any other related duties that may be assigned
